Board Meetings Shouldn’t Become Accounting Emergencies

  • Reports are a scramble. Leadership spends its time tracking down transactions instead of reviewing results.

  • The executive director wears too many hats. Managing programs and fundraising leaves little time to supervise bookkeeping.

  • One person holds the knowledge. If a longtime finance employee leaves, the organization risks losing vital processes.

Nonprofit leader preparing financial reports

Who runs what

Your Nonprofit’s Accounting Department. Already Built.

Your leadership keeps financial oversight. One team, led by a Controller, runs the money and documents how it’s done, so knowledge doesn’t leave with one person.

  1. Money out

Vendor bills in one place, approved by you, paid correctly and on time, with every due date tracked.

  2. Money in

Invoicing and receivables kept current and followed up.

  3. What’s ahead

Cash-flow forecasts and operating budgets, so leadership and the board see the tight months coming.

  4. What it means

Bookkeeping, reconciliations, monthly close, financial statements for your board and budget-to-actual reporting.

You approve. We execute. Your Controller reviews every payment. All four pillars are included in Advanced.

What’s ahead · Case study: Beat the Streets NYC

From financial uncertainty to audit-ready books and stronger financial performance.

When its longtime finance director retired, Beat The Streets Wrestling NYC faced disrupted financial processes and an approaching audit.

Accountable Numbers helped organize historical records and audit-support documentation, establish operating budgets and cash-flow forecasting, and implement budget-versus-actual reporting. The organization reported finishing the year under its expense budget and ahead of income targets.

This engagement involved specialized audit preparation, budgeting, and forecasting beyond standard Core Accounting. Accountable Numbers did not conduct the independent audit. Client results are not guaranteed.

Reporting That Supports Stewardship

Cash-flow forecasting and budgeting are part of Advanced. Program/class reporting, restricted-fund and grant-related accounting, customized board packages, and auditor coordination require specific scope and pricing; they are not automatically included in either plan.

Three Steps to Hand Off the Books

  1. Step 1: Tell us how things work.

We’ll discuss programs, funding sources, existing staff, board reporting needs, and the current books.

  2. Step 2: Get a defined plan.

We’ll identify the tasks we can manage, the responsibilities your team keeps, and your monthly price.

  3. Step 3: Work with your accounting team.

After onboarding, we handle the agreed processes and review your financial information with you each month.

Questions

Frequently Asked Questions

Can you prepare board reports?

Absolutely! Standard monthly financial statements are included in all of our accounting packages, giving your board a clear picture of your organization’s financial health. If your organization needs customized board reporting packages, additional financial analysis, or our participation in board or finance committee meetings, we’re happy to help! We’ll discuss these needs during your discovery call and can incorporate them into a customized proposal.

Can you track grants and restricted funds?

We can help nonprofits track grants, restricted donations, and related expenses so funds are properly accounted for. Grant and restricted-fund accounting is scoped and priced separately; it isn’t automatically included in our standard packages, so we’ll confirm your requirements during the consultation.

Do you perform audits or Form 990 preparation?

We serve as your outsourced back-office accounting team, working alongside your independent auditors and tax professionals – just like an in-house accounting team would do. Because we manage your day-to-day accounting and financial reporting, it’s important to have an independent third party conduct your audit. This provides an additional layer of oversight and ensures an objective review of your financial records.

While we don’t conduct audits or prepare tax returns (including Form 990), we work directly with your auditors and tax professionals to provide the financial reports, supporting documentation, and answers they need. Our goal is to make the audit and tax preparation process as smooth and seamless as possible, taking as much of the administrative burden off your plate as we can.

Can you work with our administrative staff?

Yes! During implementation, we’ll work with you to understand your team’s roles and responsibilities. From there, we’ll coordinate directly with your administrative staff if we have questions for them to keep things running smoothly and ensure everyone is on the same page.

How is pricing calculated?

By company size. Core is 1% of annual revenue per year (minimum $1,650/month) and Advanced, which covers all four areas (money in, money out, what’s ahead and what it means), is 1.5% per year (minimum $2,500/month), billed monthly. For example, a company with $5 million in annual revenue would be about $6,250/month on Advanced. Above $10 million, we quote individually. Pricing indication only; your official quote may vary with transaction volume and complexity.

Do you hold or move our money?

We never hold your money. It stays in your own accounts. We manage the work around it: preparing and scheduling bill payments, sending invoices and following up on what you’re owed. You approve. We execute. Your Controller reviews every payment.
