Still Doing the Books After the Dinner Rush?

You run the restaurant. Your accounting department runs the money.

You know what you sold today. But after vendor bills, labor, payment processing fees and operating costs, do you know what you actually made?

Accountable Numbers gives established restaurants a dedicated accounting team, led by a Controller: supplier bills paid on your approval, POS sales and deposits recorded in the books, cash-flow forecasts for the slow months, and monthly reports you can act on. It’s built for restaurants doing roughly $3M–$10M a year.

  • Money out: supplier bills approved, paid and tracked to due dates
  • Money in: POS sales, deposits and fees recorded accurately
  • What’s ahead: cash-flow forecasts around your busy and slow seasons
  • What it means: monthly reporting, KPIs and budget-to-actual
  • You approve. We execute. Your Controller reviews every payment.

A Packed Dining Room Doesn’t Guarantee Clear Numbers

  • Sales aren’t the whole picture. POS totals alone don’t show what’s left after food, labor, and operating expenses.

  • The paperwork follows you home. Supplier invoices, deposits, and reconciliations wait until the rush ends.

  • You’re still checking the books. Even with a manager or bookkeeper, the owner often has to make sure month-end is finished.

Who runs what

Your Restaurant’s Accounting Department. Already Built.

One team, led by a Controller, runs all four parts of the money, so nothing waits for you after the dinner rush.

  1. Money out

Supplier and vendor bills in one place, approved by you, paid correctly and on time, with every due date tracked.

  2. Money in

POS sales, card deposits and processing fees recorded accurately in QuickBooks Online, and any open receivables followed up.

  3. What’s ahead

Cash-flow forecasts and budgets built around your busy and slow seasons, so the tight months are planned for.

  4. What it means

Reconciliations, month-end close and reporting on revenue and costs, with KPIs and budget-to-actual.

You approve. We execute. Your Controller reviews every payment. All four pillars are included in Advanced.

Priced by Company Size. Billed Monthly.

One team instead of several hires. Your price is a percentage of annual revenue per year, billed monthly.

1% of annual revenue per year. A dedicated bookkeeping team with controller oversight.

  • Advanced · all four pillars

    $2,500/mo minimum

1.5% of annual revenue per year. Money in, money out, what’s ahead and what it means, with a dedicated Controller.

Pricing indication only. Your official quote may vary with transaction volume and complexity. Discounts available. A separate one-time implementation fee applies; cleanup and specialized services may cost extra. We’ll explain the scope and charges in your proposal before you commit.

Built Around Restaurant Workflows

We’ll evaluate your POS, payment systems, supplier bills, labor cost records, and current accounting setup. QuickBooks Online is our core accounting platform; integrations and detailed food-cost or labor analysis depend on the systems and service scope.

For established restaurants, Advanced usually fits best: all four pillars for one monthly fee. A restaurant with $5 million in annual revenue would be about $6,250/month on Advanced.

Three Steps to Hand Off the Books

  1. Step 1: Tell us how things work.

We’ll discuss your POS, deposits, vendor bills, bookkeeping setup, and reporting needs.

  2. Step 2: Get a defined plan.

We’ll identify the tasks we can manage, the responsibilities your team keeps, and your monthly price.

  3. Step 3: Work with your accounting team.

After onboarding, we handle the agreed processes and review your financial information with you each month.

Questions

Frequently Asked Questions

Can you work with our POS?

Absolutely! We work with a variety of point-of-sale (POS) systems and can help ensure your sales, deposits, fees, and other transactions are accurately recorded in QuickBooks Online. During our consultation, we’ll review your existing setup and determine the best way to integrate your POS with your accounting processes.

What if we already have an office manager?

That’s great! We regularly work alongside office managers and administrative staff. During implementation, we’ll work with you to understand your team’s roles and responsibilities. From there, we’ll coordinate directly with your staff to keep things running smoothly and ensure everyone is on the same page.

Does this include sales-tax filings or tax preparation?

Tax preparation, sales-tax filings and processing employee pay are not included in our standard accounting packages. We work alongside your existing providers and tax professionals to make sure they have the accurate financial information they need, and we’ll discuss your specific needs during the consultation.

What if the books are behind?

No problem! We regularly help businesses get their books caught up and back on track. During our initial consultation, we’ll discuss the current state of your accounting records and determine what cleanup may be needed. If additional work is required, we’ll provide a separate quote for those services.

How is pricing calculated?

By company size. Core is 1% of annual revenue per year (minimum $1,650/month) and Advanced, which covers all four areas (money in, money out, what’s ahead and what it means), is 1.5% per year (minimum $2,500/month), billed monthly. For example, a company with $5 million in annual revenue would be about $6,250/month on Advanced. Above $10 million, we quote individually. Pricing indication only; your official quote may vary with transaction volume and complexity.

Do you hold or move our money?

We never hold your money. It stays in your own accounts. We manage the work around it: preparing and scheduling bill payments, sending invoices and following up on what you’re owed. You approve. We execute. Your Controller reviews every payment.

Is the consultation free?

Yes, our initial consultation is completely free. It’s an opportunity for us to learn more about your business, understand your accounting needs, answer your questions, and see if our services would be a good fit. No pressure and no obligation!
