When you run an established company, money operations keep landing back on your desk: invoices to chase, bills to approve, reports that arrive late.

Accountable Numbers gives you a dedicated accounting team, led by a Controller, that handles billing and collections, accounts payable, cash-flow planning and financial reporting. It’s built for Tennessee businesses doing roughly $3M–$10M a year.

You run the business. We run the money.

  • Money in: billing and receivables follow-up
  • Money out: vendor approvals and bills paid on time
  • What’s ahead: cash-flow forecasts, budgets and scenarios
  • What it means: books, reporting, KPIs and budget-to-actual
  • You approve. We execute. Your Controller reviews every payment.

The Books Shouldn’t Depend on You

  • You’re still supervising the work. Even with a bookkeeper, you’re following up on tasks and resolving accounting questions.

  • Your numbers aren’t ready. Delayed reports make it harder to understand expenses, cash needs, and performance.

  • Too much depends on one person. When that person is unavailable, accounting can stall.

Who runs what

We Run the Money. All Four Parts of It.

Instead of hiring billing, payables, bookkeeping, controller and planning roles one by one, or doing the work yourself, you get one team that runs all four.

  1. Money in

Billing from “sold” forward and receivables follow-up, including calling customers who owe you.

  2. Money out

Accounts payable end to end: approving vendors, paying bills correctly and tracking every due date.

  3. What’s ahead

Cash-flow projections, budgets, financial model updates and scenarios, so tight months are planned for instead of discovered.

  4. What it means

Bookkeeping, reconciliations, month-end close, financial reporting, KPIs and budget-to-actual.

You approve. We execute. Your Controller reviews every payment. All four pillars are included in Advanced.

Real Results: Evolve United

Money in · Case study: Evolve United

Over $40,000 in overdue invoices. Nearly all collected in two months.

Evolve United faced overdue receivables, missed reconciliations, and unreliable books. Accountable Numbers helped address the backlog, recover nearly all of the overdue invoices within two months, and establish better accounting processes and monthly reporting.

Client-specific results; not guaranteed. Historical cleanup and collections were specialized work outside the typical recurring scope.

Priced by Company Size. Billed Monthly.

One team instead of several hires. Your price is a percentage of annual revenue per year, billed monthly.

  • Core

    $1,650/mo minimum

1% of annual revenue per year. A dedicated bookkeeping team with controller oversight.

  • Advanced · all four pillars

    $2,500/mo minimum

1.5% of annual revenue per year. Money in, money out, what’s ahead and what it means, with a dedicated Controller.

Pricing indication only. Your official quote may vary with transaction volume and complexity. Discounts available. A separate one-time implementation fee applies; cleanup and specialized services may cost extra. We’ll explain the scope and charges in your proposal before you commit.

Built for $3M–$10M Businesses

Most of our clients are established companies doing $3M–$10M a year whose owners are still pulled into billing, bills and reports. At that size, Advanced usually fits best: all four pillars, run by one team, for one monthly fee.

For example, a company with $5 million in annual revenue would be about $6,250/month on Advanced. Above $10 million, we quote individually.

Three Steps to Hand Off the Books

  1. Step 1: Tell us how things work.

We’ll review your systems, workload, existing staff, and the accounting responsibilities you want off your plate.

  2. Step 2: Get a defined plan.

We’ll identify the tasks we can manage, the responsibilities your team keeps, and your monthly price.

  3. Step 3: Work with your accounting team.

After onboarding, we handle the agreed processes and review your financial information with you each month.

Questions

Frequently Asked Questions

Can you work with our existing employees?

Absolutely! During implementation, we’ll work with you to understand your team’s roles and responsibilities. From there, we’ll coordinate directly with your staff if we have questions for them to keep things running smoothly and ensure everyone is on the same page.

What software do you use?

We’re QuickBooks Online experts, and that’s where we handle all of our core accounting services. But our support doesn’t stop there! We also work with the systems you already use, including point-of-sale platforms, inventory management software, CRMs, donor management systems, and bill-pay or expense management tools. During our consultation, we’ll review your existing systems.

What if our books are behind?

No problem! We regularly help businesses get their books caught up and back on track. During our initial consultation, we’ll discuss the current state of your accounting records and determine what cleanup may be needed. If additional work is required, we’ll provide a separate quote for those services.

How is pricing calculated?

By company size. Core is 1% of annual revenue per year (minimum $1,650/month) and Advanced, which covers all four areas (money in, money out, what’s ahead and what it means), is 1.5% per year (minimum $2,500/month), billed monthly. For example, a company with $5 million in annual revenue would be about $6,250/month on Advanced. Above $10 million, we quote individually. Pricing indication only; your official quote may vary with transaction volume and complexity.

Do you hold or move our money?

We never hold your money. It stays in your own accounts. We manage the work around it: preparing and scheduling bill payments, sending invoices and following up on what you’re owed. You approve. We execute. Your Controller reviews every payment.

Is the consultation free?

Yes, our initial consultation is completely free. It’s an opportunity for us to learn more about your business, understand your accounting needs, answer your questions, and see if our services would be a good fit. No pressure and no obligation!
