When Your Books Are Behind, Your Decisions Get Harder.

It happens to good business owners and nonprofit leaders. One busy month becomes two. Reconciliations get skipped. Transactions pile up. Eventually, the reports are no longer something you are fully comfortable relying on.

  • Cash decisions become guesswork. If the books are not current, it is harder to know your real cash position, understand profitability, or decide confidently whether you can afford the next hire or major purchase.

  • Tax time gets harder. Unreconciled accounts and unresolved bookkeeping issues do not disappear at year-end. Waiting can mean more pressure, more questions, and more work to resolve before your tax professional can rely on the books.

  • Your time gets pulled into bookkeeping. Your job is running the organization, not spending another weekend sorting transactions and trying to untangle QuickBooks.

The longer you wait, the more there is to clean up. You do not have to untangle it yourself. That is what we are here for.

What Your QuickBooks Cleanup Includes

For businesses that fit the standard scope, the $2,685 QuickBooks Cleanup includes:

  1. Up to 6 Months of Backlog Cleared

We reconcile your historical transactions line by line so you can stop worrying about unfinished bookkeeping.

  2. Bank & Credit Card Reconciliation

Balance up to 3 bank or credit card accounts directly against your official monthly statements to ensure every single dollar aligns.

  3. Categorization & Error Correction

Thoroughly audit your account feed to identify and resolve duplicate charges, missing entries, and misclassified expenses.

  4. Decision-Ready Financial Reports

Receive updated financial statements reflecting the cleanup work performed.

The goal is simple: get your books caught up so you can get back to running the business with financial information you can actually use.

What Clean Books Can Change

Case study: Evolve United

Months of Unreconciled Accounts. Misclassified Transactions. Unreliable Reporting.

When Evolve United came to Accountable Numbers, its growing business was being held back by disorganized financial records. Transactions had been booked to incorrect accounts, reconciliations had gone unfinished for months, and leadership no longer had a clear view of revenue, expenses, or profitability.

As part of a broader accounting engagement, Accountable Numbers corrected historical bookkeeping errors, fixed misclassified transactions, brought reconciliations current, and helped establish reliable financial reporting.

The result: Evolve United regained clear, accurate financial information leadership could use to understand cash flow, profitability, and business performance.

Is the Standard Cleanup a Good Fit?

This offer is designed for relatively straightforward QuickBooks catch-up work. The free assessment is how we confirm whether your books fit the standard scope.

You are likely a good fit if:

  • You are a U.S.-based business or nonprofit.
  • Your organization generally has less than $2 million in revenue or expenses.
  • You currently use QuickBooks Online.
  • You need up to 6 months of bookkeeping caught up.
  • You have 3 or fewer bank and credit-card accounts requiring reconciliation.
  • Your transaction volume is appropriate for a standard small-business cleanup.

The standard $2,685 offer is not designed for:

  • Real estate investors or businesses with heavy fixed-asset tracking.
  • Inventory reconstruction.
  • Payroll or sales-tax corrections.
  • Amended returns.
  • Multi-entity or intercompany accounting.
  • Forensic accounting.
  • Significant prior-year reconstruction.
  • More than 3 accounts requiring reconciliation.

Outside the standard scope does not necessarily mean we cannot help. It simply means your books may require a custom engagement. We will review the situation and tell you what actually makes sense.

What Happens During the Free Cleanup Assessment?

No homework. No QuickBooks access. No obligation. During approximately 30 minutes, we will:

  1. Step 1: Understand what is going on.

Tell us how far behind the books are, what has been difficult, and what you need to get resolved.

  2. Step 2: Review your basic setup.

We will ask about QuickBooks, your revenue range, your bank and credit-card accounts, and anything that could complicate the cleanup.

  3. Step 3: Determine whether the $2,685 cleanup fits.

If your books qualify for the standard offer, we will tell you. If they need a different scope, we will tell you that too.

  4. Step 4: Explain exactly what happens next.

You will understand the cleanup period, what is included, what we will need from you, and how the engagement works before you commit.

Meet Amanda Hendren

Owner, Accountable Numbers

“My goal during an assessment is not to pressure you into buying accounting services. It is to understand where your books stand, determine whether our fixed-price cleanup fits your needs, and make sure you leave with a clear path forward.

I would always rather tell you exactly what your books need before you hire us than take your money and under-deliver.

At Accountable Numbers, our job goes beyond entering transactions. We take the accounting burden off business owners and nonprofit leaders and give them financial information they can understand and use.”

How the Cleanup Works

  1. Step 1: We confirm your scope.

Before work begins, we confirm the cleanup period, accounts included, information required, known exclusions, and project expectations.

  2. Step 2: You send us what we need.

We provide a clear document checklist. Requested bank and credit-card statements and supporting records should be provided within 10 business days of kickoff.

  3. Step 3: We clean up the books.

Our accounting team works through the agreed period, reconciles eligible accounts, reviews transaction coding, and addresses in-scope bookkeeping issues.

  4. Step 4: You get back to a better starting point.

At completion, you receive updated financial reporting reflecting the cleanup work performed.

A Defined 90-Day Engagement

The standard QuickBooks Cleanup is structured around a 90-day engagement period. To keep the project moving, we need requested records within 10 business days and timely responses to questions that require your input.

Important: delays in receiving required information do not automatically pause or extend the 90-day engagement period.

If we discover an accounting issue that materially changes the scope, we will discuss it with you before performing additional out-of-scope work.

When a Cleanup Requires Deeper Investigation

That is okay. Not every cleanup fits neatly into a six-month, three-account package. Accountable Numbers also handles larger historical cleanups, prior-period work, complicated balance-sheet issues, and other engagements requiring a custom scope.

In a controller-level engagement for People Processes, Accountable Numbers reviewed complex balance-sheet liability accounts and discovered that more than $120,000 in service revenue had been misclassified over a three-year period.

Correcting the issue required tracing historical transactions, correcting prior-period accounting records, and coordinating the amendment of prior-year tax returns.

If you need a prior year cleaned up, have more than 3 accounts, exceed the standard revenue profile, or your books require more extensive reconstruction: start with the assessment. We will tell you what your books actually need.

This was a custom controller-level engagement, not the standard $2,685 QuickBooks Cleanup.

Getting caught up is step one.

Staying Caught Up Is Optional

The QuickBooks Cleanup is a standalone engagement. Once it is complete, you can take your updated books and manage accounting however you choose.

If you would rather not end up months behind again, Accountable Numbers can also handle ongoing monthly accounting, reconciliations, financial reporting, KPIs, and back-office support.

Continue With Accountable Numbers and Receive an $895 Onboarding Credit

If you complete the cleanup and enroll in qualifying Core Monthly Accounting services within 30 days of receiving your final cleanup package, you can receive a $895 credit toward the standard onboarding fee.

  • Available with qualifying Core Monthly Accounting services.
  • Enrollment must occur within 30 days of receiving the final cleanup package.
  • Credit applies to the standard onboarding fee only.
  • No cash value; non-transferable; cannot be combined with other offers.
  • Monthly accounting service terms apply.

There is no obligation to continue. First we get you caught up. Then you decide.
